A flight delay message is a short note with the flight number, the new departure time and the next step for the reader. Passengers send one to a boss, a host or a driver. Meanwhile, travel businesses send one to customers when a schedule changes.

Below you get 6 messages for passengers and 6 WhatsApp templates for travel teams. You also get Meta’s category rules and the cost per message in India. You will also see what DGCA (India’s aviation regulator) expects from airlines. Travel teams that send at scale need the WhatsApp Business API, which is Meta’s paid version for businesses.

What is a flight delay message?

A flight delay message tells someone that a flight will leave or land later than planned. It names the flight, gives the new time and tells you what changes for the reader. Passengers send it to the people waiting for them. Travel businesses, however, send it to customers whose plans depend on the flight.

The sender decides the rules, because each side faces a different risk.

Who sends it What it does Rule that matters
Passenger to boss, host or driver Resets plans for the day Give the new time and your next update time
Travel agent or tour operator to customers Keeps the trip on track Get opt-in first, then send an approved Utility template
Airline to passengers Informs and offers options DGCA expects website, SMS, WhatsApp and email updates

What to put in a flight delay message

A good flight delay message has five parts and fits in three lines. The new time comes first, because the reader needs it to decide whether to wait or reschedule. A vague note such as “my flight is late” forces a follow-up question. So that question can cost you a missed pickup or an empty taxi.

Include these five parts, in this order:

  1. New time first: write “now 18:45, was 16:30”, not “a bit late”
  2. Flight number and route: it lets the reader check live status alone
  3. What changes for them: the pickup, the meeting or the check-in
  4. When you will update: for example, “I will message again at 17:30”
  5. One short apology: a single sentence is enough

Also give only a reason you know. “Weather at Delhi” works if the airline said so, while a guess such as “some technical issue” invites more questions. This advice does not apply to a cancelled flight, because the reader must rebook rather than wait.

6 flight delay message samples for passengers

First, these six samples cover the people passengers message most often. Replace the words in square brackets with your own details, and keep the five parts above. Each one takes under a minute to edit.

1. Flight delay message to your boss

Use this when the delay could cost you a meeting or a working day.

Hello [Mr Rao], my flight [6E 5021] from [Pune] to [Delhi] will now leave at [18:45], not [16:30]. I expect to land around [21:00]. I will join the [Thursday 10 am] meeting online if the time slips again. I will update you at [17:30].

2. Flight delay message to someone picking you up

Tell them when to leave for the airport, because that is the only decision they have to make.

Hi [Amit], my flight [6E 5021] will land at [21:00], not [18:15]. Please do not leave for the airport yet. I will text again when the plane takes off, and I will call you at arrivals.

3. Flight delay text message to family or friends

Keep it short and warm, because your family will worry more than they plan.

Hi [Mum], my flight is running late. It leaves at [18:45] instead of [16:30], so I will reach home around [23:00]. Please keep dinner for me, and I will message again at [17:30].

4. Flight delay message to a hotel or cab driver

A hotel that hears from you early will usually hold the room, while one that hears nothing may release it.

Hello, this is [Neha Verma] with booking [HB48213] for [two nights from 30 October]. My flight will land at [21:00] instead of [18:15], so I will reach the hotel around [22:30]. Also, please hold my room and confirm that late check-in is fine.

5. Flight delay message to a client or meeting host

Offer two options, because your host can accept a choice faster than a problem.

Hello [Ms Sharma], my flight [6E 5021] now lands at [21:00] instead of [18:15]. I cannot reach the [Friday 9 am] meeting on time. Could we move it to [11 am], or would you prefer a video call at the original time?

6. Flight delay message to the airline

So send this only through the airline’s own app, website or verified number. Never post your booking reference in a public comment or to an unknown number.

Hello, I hold booking [K7Q2LM] on flight [6E 5021] from [Pune] to [Delhi] on [30 October]. The flight now leaves at [18:45], so I will miss my connection to [Jaipur]. Please tell me the earliest alternative flight or my refund options.

Then send the follow-up you promised, even if nothing changed. A second message at the promised time keeps trust, while your silence makes people assume the worst.

What airlines must tell passengers about a delay in India

DGCA’s January 2024 instructions say an airline should publish delay information on its website. It should also inform passengers through SMS, WhatsApp and email and show updates at airports. Check DGCA’s site for the current text.

Separately, a November 2024 Ministry of Civil Aviation advisory asked airlines to give drinking water for delays up to 2 hours. It also asked for tea or coffee with snacks from 2 to 4 hours, and meals beyond 4 hours.

However, these duties bind airlines, not travel agents. Even so, your message is what your customers remember when the airline’s text is vague. Link to the airline’s policy page instead of promising meals, hotels or refunds. Those depend on DGCA’s passenger rules and the airline’s conditions of carriage.

6 WhatsApp flight delay message templates for travel teams

A flight delay message from your business must be an approved template when the customer has not written to you in the last 24 hours. Meta files a notice about a specific booking under the Utility category.

The customer must also have opted in to your WhatsApp messages. First, use the WhatsApp opt-in guide to add a consent tick box at booking.

Each template below starts and ends with fixed text, names the flight and gives a next step. Write realistic sample values when you submit, such as “6E 5021” and “18:45”, never “test”.

1. Short delay with the new time

Hello {{1}}, your flight {{2}} from {{3}} will now leave at {{4}} instead of {{5}}. Your booking {{6}} stays valid and you need to do nothing. We will message you again if the time changes.

Variables: {{1}} first name, {{2}} flight number, {{3}} departure city, {{4}} new time, {{5}} old time, {{6}} booking reference.

2. Long flight delay message with options

Add three quick reply buttons: “Keep my booking”, “Help me rebook” and “Talk to an agent”. Also, each label stays under Meta’s 25-character limit.

Hi {{1}}, flight {{2}} will now leave at {{3}}, which is {{4}} later than planned. The airline gave this reason: {{5}}. If the new time does not work for you, tap an option below and our team will reply here.

3. Airport transfer reset

If you run tours or a cab desk, you need this one. Otherwise, a driver waiting for the wrong time costs you real money.

Hello {{1}}, flight {{2}} will land at {{3}}, so your airport pickup now starts at {{4}}. Your driver will wait at {{5}}. Reply here if you need to change anything.

4. Hotel late check-in note

Hello {{1}}, we have told {{2}} that your flight {{3}} will land late. Your room for {{4}} stays reserved, and we have arranged late check-in until {{5}}. Reply here if you need a different arrival time.

5. Second update that replaces the first

Hi {{1}}, flight {{2}} has a new time. It now leaves at {{3}}, and this replaces the {{4}} we shared earlier. Please ignore the earlier time. Our team is here if you need help with onward plans.

6. Group tour delay

Hello {{1}}, flight {{2}} for the {{3}} group will leave at {{4}} instead of {{5}}. The airport meeting time moves to {{6}} at the same meeting point. Your tour manager will post any further change here.

Add a link as a call-to-action button, not as the last variable in the body. A cancelled flight needs its own template, so keep these six for delays only. For other service notices, see these WhatsApp alert message examples.

Is a flight delay message a Utility or Marketing template?

A flight delay message about a specific booking is a Utility template. However, it becomes Marketing the moment you add an offer. Meta’s categorization page lists a premium cabin upgrade with priority boarding as marketing. It also lists an apology for a late delivery with a credit added to the account as marketing.

Mixed content counts as marketing too, so one upsell line changes the whole template.

Message Category Why
“Flight 6E 5021 now leaves at 18:45” Utility Because it is specific to the booking and has no offer
The same text plus “upgrade to business class for ₹4,999” Marketing Since Meta lists a cabin upgrade as marketing
The same text plus “₹500 travel credit for the delay” Marketing So an apology with a credit counts as marketing

The category sets the price. From 1 October 2026, India’s rate is ₹0.115 per delivered Utility message and ₹0.8631 per delivered Marketing message, before GST. Say your tour desk tells 120 travellers about a delay:

  • As Utility: 120 × ₹0.115 = ₹13.80
  • After an upsell flips it to Marketing: 120 × ₹0.8631 = ₹103.57

Flight delay message as Utility at 0.115 rupees versus Marketing at 0.8631 rupees

That is about 7.5 times the cost, and a Marketing template also runs into Meta’s per-user limits. So check Meta’s pricing page for the live rate card.

Replies cost you less. When a traveller answers “Where is my driver?”, your typed reply inside the 24-hour window is a service message. Meta gives you 1,000 free service messages a month for each business number and charges from the 1,001st.

Meta has billed a Utility template inside an open window since 1 October 2026. So the notice itself always costs ₹0.115.

Why Meta rejects flight delay templates

Meta’s template review page lists the common rejection causes, and most delay templates fail on the same few. Many template libraries end the body on a link variable. That breaks Meta’s rule against a body that starts or ends with a variable.

Cause Fix
The body starts or ends with a variable End on a fixed sentence, such as “We will message you again”
Variables skip numbers, such as {{1}}, {{2}}, {{5}} Number them in order
Too many variables for the length Write full sentences around each one
Sample values read “test” or “abc” Use realistic values like “6E 5021” and “18:45”
The text asks for a passport, Aadhaar or card number Ask for a booking reference only
An offer sits inside the notice Move it to a separate Marketing template

If a submission still bounces, read this guide to a rejected WhatsApp template. One more rule matters for travel. Keep your links on your own domain, because scammers send fake delay texts with real names and flight details.

Tell customers at booking that you will never ask for an OTP or card number in a delay update.

How to send a flight delay message on WhatsApp with Ask4Lead

Ask4Lead, a humanized AI WhatsApp chatbot + CRM, lets a small travel desk send these templates in five steps. Ask4Lead does not read airline schedule feeds, so a person decides who the delay affects and presses send.

  1. Collect opt-in at booking. Add a tick box that says the customer agrees to WhatsApp updates.
  2. Submit the template. In WhatsApp Templates, choose Utility, add the quick reply buttons and watch the status move from Pending to Approved.
  3. Tag the travellers. Add a tag to each customer, such as “6E5021-30Oct”, in lead management.
  4. Send the campaign. In WhatsApp Campaigns, pick the approved template, filter by the tag and send now. Delivery status shows for each message.
  5. Answer replies. You pick up each reply in the shared team inbox and can assign it to the right person.

Flight delay message sending flow from opt-in to reply on WhatsApp

Ask4Lead fills lead-profile fields such as the first name by itself. For a time that applies to the whole flight, write it into the template text. Then submit one template per delay.

This suits a desk with dozens of travellers on one flight. If you send thousands of per-passenger updates from a booking system, you need an API integration instead.

See how the same setup works for a travel agency and on the travel industry page.
